HE create a new description of assignment

Welcome! Through this guide we will take you through the steps to create a new description of assignment (DoA) and submit it to UNV for review. 

This will include creating a new DoA, entering the funding information and submitting it for review and approval by UNV.

Click on the DoAs tab first. 

Here, you can see all the DoAs belonging to your Host Entity, and that are currently active. 

Active in this case means either being created, reviewed, actively recruiting or even serving.

It is currently empty, as we have not created any yet.

To create a new Description of Assignment, click here!

You will be taken to the first step in creating a DoA, filling in the details of the assignment. 

First choose between Onsite and Online assignment. 

Next, choose between an empty form or a preset template. 

Then, give your DoA a title. 

Next, you are met with selecting an assignment country. 

Then, a volunteer category. 

Clicking on Eligibility criteria will open a popup explaining the minimum eligibility criteria for each volunteer modality. 

This includes minimum years of experience, years of age, nationality, assignment duration. This is shown in the next step.

Here we can see those eligibility criteria. 

Select a different Volunteer Category to display the different criteria.

Continue to fill all the other mandatory fields throughout the form. 

Finally, this step allows you to create the assignments belonging to the Description of Assignment. 

The number of assignments you select here must be reflected in the step we just mentioned. 

Above, we selected 2 assignments. Which means we need to add one more here. 

This button allows you to duplicate the already entered assignment. 

However, let's look at the form to create one from scratch. 

Here, you must select at least a duty station and a hiring manager. 

Information such as who the UN Volunteer reports to, or who the supervisor is, are not mandatory at this point.

Enter the information, and add the assignment. 

By clicking here. 

Now that we have our 2 assignments ready, we can continue to the next step. 

Click on continue, to move on to the funding information. 

However, if you wish to save this DoA and finish it later, you can always save it as a draft. 

Here, you can select wether the DoA and its assignments will be open for Fully Funding, or if a specific host entity will fund it. 

For this example, we will be looking at the entity funded modality.

Click on Add funding information to start population the chart of accounts. 

Enter your chart of accounts information here. 

Keep in mind that UVP is able to verify the information entered with a list of currently active charts of accounts. This means that you will only see valid options as you enter the data.

Additionally, in order to see available values, make sure to enter at least the first 3 digits of a code and the system will conduct a search for you.

Make sure to upload any necessary supporting documents. Such as funding authorizations. 

Finally save the information by clicking on Add funding information. 

As with the step where an assignment could be copied with one click, the same can be done with the funding information. 

Now we have the same chart of accounts funding our 2 assignments. 

Finally, submit your newly created DoA to UNV for review and approval. 

If UNV's mobilization or recruitment users need your host entity to make changes or adjust fields in the form, you will be informed of this via a task on UVP and also via email.

Now your DoA is submitted and waiting for approval by UNV!

As mentioned earlier, if changes are necessary, UVP will inform this via a task on the dashboard.

Alternatively, an email will be sent informing you of this.

Your next step, if everything is in order, is to review candidates that have applied to your DoA and have been submitted to you by UNV.
